Candix Employees

"Employee" feature typically refers to the management and tracking of internal team members, particularly those involved in sales, customer support, and account management. Under employees feature certain sub features are found which includes; Dashboard, Job description, Organization charts, Onboarding, HR Records, Training, Contracts, Dependents, Layoff checklist, Q&A, Reports and Settings.

Candix Employees Dashboard

A dashboard, under Employee features, is a user-friendly interface that provides employees with

a quick and visual overview of essential work-related information.

Note: the “Employee dashboard” is different from the CRM dashboard”.

Under the Employee dashboard certain items are found which includes;

Staff ratio by department: This refers to the ratio or proportion of employees or staff members within an organization distributed across various departments or functional areas.

Staff ratio by job: This refers to the ratio or proportion of employees or staff members categorized by their specific job roles or positions within an organization.

Staff ratio by age group: This refers to the ratio or proportion of employees or staff members in different age categories within an organization.

Ratio of changes in staff by seniority: This means how staff changes within an organization based on seniority level of employees.

Staff status by month: This refers to a report or data analysis that provides information about the employment status of staff members over a specific period, usually on a monthly basis.

Contracts are due to expire: This statement indicates that the contracts are still active and in effect, but their expiration date is approaching in the near future.

Note: You can create a new contract due for expiration. The following steps must be followed in creating new contracts which includes;

  1. Click on the ‘human-like eyeball symbol’ just beside it.
  2. Items such as contract codes, staff name, contract type, salary and allowance, effective date, expiration date, status, signature date, signed by, attachment, will appear.
  3. Fill in the details as provided above and click on save. Notification will be sent to you afterwards.

Note: this process also, applies to ‘contracts are expired’ if you want to create new contract.

Contracts are expired: This statement means that the contracts in question have already reached their expiration date, and they are no longer valid or in effective.

Birthday of the months: Birth month of any staff or employee.

Staff have not completed the onboarding: This means that some employees or new hires have not finished the required tasks and activities outlined in the onboarding checklist.

Candix Employees Job Description

This refers to a written document outlining the responsibilities, qualifications, and expectations for a specific job role within an organization. Underneath this feature, items such as; ‘New Job Position’, ‘Groups’ and ‘Import Excel’ are found. This item informs you that you can either create new job position, group or import the job description from an excel sheet. For instance, to create a new job position, follow the instructions provided below for guidance;

  1. Click on new job position
  2. Fill in the following information’s such as; Job code, Name, Job group, Department, Tags, Description, Attachment.
  3. Click on save and you will be sent a notification.

Candix Employees Organization Chart

This is a visual representation of a company's hierarchical structure. Items such as ‘Add Unit’ and View Chart are seen once you click on Organization Chart under Employee feature. To add new unit, kindly, follow the necessary steps;

  1. Click on add new unit
  2. Fill in the following information’s as provided; Name, Unit manager, Parent Unit, Unit email, IMAP host, Password, Encryption (e.g, TLS, SSL, No Encryption, Delete mail after input), Test IMAP connections.
  3. Click on save a notification will be sent to you after successfully providing the necessary information.

Note: IMAP in full is ‘Internet Message Access Protocol’, TLS is ‘Transport Layer Security’ and SSL is ‘Secure Sockets Layer’.

Candix Employees Onboarding

This refers to the process of integrating new employees into an organization. It is linked to ‘Trainings feature’ under employees. This is where you can add checklist of staff going for a training.

This checklist can be created following the steps provided below;

  1. Click on Add Checklist
  2. Fill in the following details where necessary such as; Select staff, and Training program.
  3. Click on save and you will be notified afterwards.

Candix Employees HR Records

This Feature encompass the organized storage and management of crucial employee-related documents and information. This includes personnel files, performance evaluations, payroll records, and other essential documents.

Items such as; ‘New staff member’, ‘Import from excel’ and ‘Export staff’ are seen. In order to create new staff member, kindly adhere to the following instruction;

  1. Click on new staff member
  2. Filling in the following details as listed.

Note: Before filling other relevant information,

  1. Click on the ‘profile’ section to fill in the profile the staff such as, Domicile, Marital status, Current address, Nation, Place of birth, Religion, Citizen identification, Date of issue, Place of issue, Residence, Bank account number, Bank name, Personal tax code, Facebook, Linkedin, Skype.
  2. Thereafter, you are meant to provide details about other information’s regarding the new staff member. This detail includes; Staff code, First name, Last name, Gender, Birthday, Email, Phone, Workplace, Status, Job position, Direct manager, Role, Academic level, Hourly rate, Direction, Email signature, other information, Password.

iii click on save after successful providing all necessary details, you get a notification afterwards.

Note: if you have the information the staff in excel you can choose the ‘import from excel’ instead.

Candix Employees Training

This is where you can add Onboarding staff. Under training you have three items which includes; ‘Training program’, ‘Training libraries’ and ‘Training Results’. To start a new training program. Kindly follow the instructions provided below;

  1. Click on ‘Add’
  2. Fill in thee following information which includes; Training program name, Training type, Training program item, Minimum point, Additional training program, Department, Job position to apply, Description etc.
  3. Click on save and a notification will be sent to you immediately.

Candix Employees Contracts

This involves the formal agreements between an employer and an employee, outlining terms and conditions of employment. To create a contract, follow the instructions provided below;

  1. Click on the new contracts.
  2. Items such as contract codes, staff name, contract type, salary and allowance, effective date, expiration date, status, signature date, signed by, attachment, will appear.
  3. Fill in the details as provided above and click on save. Notification will be sent to you afterwards.

Candix Employees Dependent

This involve managing information about an employee's dependents within an HR or payroll system. This feature is connected family members. ‘New Dependent’ and ‘Import Excel’ are the two items found in this feature. To create a new dependent, adhere to the following instruction provided below;

  1. Click on new dependent
  2. Fill in the information as provided; staff name, dependent name, relationship, date of birth, citizen identification, reasons, effective date, expiration date.
  3. Click on save and you get a notification.

Candix Employees Layoff Checklist

This is a structured document used by HR departments to ensure a systematic and legally compliant process when laying off employees. To create a layoff checklist, kindly follow the instructions below;

  1. Click on new layoff checklist
  2. Fill in the information provided; staff, email, department, job position, date of layoff
  3. Click save and you be notified.

Candix Employees Q&A

This involves a question-and-answer format where employees can seek information, clarification, or guidance on various work-related topic. This feature is more like the ‘Knowledge Base’ feature found after ‘Estimate Request’ feature.

In the Q&A Feature you find item like ‘New article’. To create article, follow the steps provided below;

  1. Click on new article
  2. Fill in the information provided; Subject, groups, attach files, article description.
  3. Click on save and you be notified.

Candix Employees Report

In this feature you see items such as; laying off staff, the staff list has salary change, charts based report, ratio of changes in staff by seniority, ratio of staff changes by months, personnel qualifications by department.

Candix Employees Settings

This pertains to the configuration options within an employee management system or software. Items found in this feature includes; contracts type, salary type, allowance type, layoff checklist, type of trainings, onboarding template, workplace, contract templates, general settings.

Note: you can add new settings if there is need to change the item.
